sqrlgtr 1,342 #1 Posted Monday at 11:09 PM Just wondering who all keeps a record/journal of their WH tractor's? I've come to a point in my life where I just can't remember as well as I used too .
ebinmaine 75,774 #2 Posted Monday at 11:15 PM Definitely. Part of my being neurodiverse is a terrible short term memory. I use a couple phone apps to help with many things. Calendar 📅 Notes 📝 I keep a list of "To-do" for every tractor (and many other tasks).

The first notes are on papyrus ... that's an indication of how long @ebinmaine's been "working " on it... Trail cam of Eric ordering the first parts list...

SylvanLakeWH 29,846 #6 Posted Tuesday at 12:38 AM But back on topic - yes, I keep a "to do" list for each tractor that serves as the "done" list after cross outs...

Achto 30,205 #8 Posted Tuesday at 02:21 AM The only record keeping that I do is an inventory. I have a USB stick that is on a key chain, this has pictures, serial numbers, & approximate value of each tractor that I own. Should I kick the bucket, my wife or son will at least have some idea of what they need to get rid of. For maintenance, I put an hour meter on every tractor that I have. Every 25hrs they get an oil change and a good looking over. 100hrs includes a change of transmission fluid & filter if applicable.

If so, then yeah most definitely I do.

I generally do the spring - fall oil changes, when I do the implement & tire swap. Grease the moving parts. While the rears are off, check the grub screws on the hubs. Pull the Unidrive dipstick to verify fluid condition & level. AND - check the Kohler oil level before each use.... Seems to work for a couple of decades so far.
Wild Bill 633 899 #11 Posted Tuesday at 10:35 AM I have created several Xcel spreadsheets so it is easy to easily look up P/Ns rather than comb thru manuals. 3
JoeM 9,320 #12 Posted Tuesday at 10:58 AM I write hours and date on oil filters if equipped. Same on the air filter ring. Grease at the start of the year, in the middle of summer and in the fall. The older Kohlers stuff gets a fall service, I really don't run those very much. Take some pics and catalog bigger jobs. No formal records. Maybe some could switch to cubs and save the record keeping!

sqrlgtr 1,342 #14 Posted Tuesday at 12:33 PM Well I'm going have to start doing sumin I changed the oil twice in one week on one (trans and motor) and still havnt made it to the right machine that needs it. Me thinks I'm going to start journal and start writing things down about each machine, initial cost, seals replaced, problems fixed, problems that need fixin, maintenance schedule, etc. etc. I never thought about doing this in my younger years. Dat gum I hadn't even thought about the different pieces of equipment. Might even help if/when you go to sell/trade sumin. I'm not complaining, I'm blessed to have this "problem". Now what was I going to do, Oh yeah buy more oil. 2

WHX?? 53,350 #17 Posted Tuesday at 03:28 PM (edited) I printed these off from a manual and just keep them on a clip board. Separate one for each tractor. Problem is I forget or don't keep them up the way one should. Not only that most of the time I can't read my own chicken scratching. tunahead72 2,591 #21 Posted 17 hours ago Yep, guilty here too. I've been writing things down forever, since day one for each of my Wheel Horses, and all my other lawn equipment, appliances, vehicles, .... Back in April 2023, I started creating Word documents to record this stuff instead, mostly because writing by hand has gotten more difficult over time for some reason. My 310-8 document now has 39 pages, my C-105 has 20. It's mostly helpful for me to do all this recording, but it does take time. And I'm well past the point that I wonder if I have a problem, that part's pretty clear. 1

davem1111 2,260 #23 Posted 15 hours ago I'm a bit embarassed to say that I barely keep records of anything.... tractors or otherwise. The best I do is have a note in my iPhone (that I try to remember to update) with the last date and/or mileage that I change the oil in any of my tractors, cars and trucks. This ADD has me running off to the next project as soon as I finish one and not taking notes (sometimes a picture or 2). The only time you'll hear me say "all done but the paperwork" is when I'm in the bathroom.
c-series don 10,786 #24 Posted 14 hours ago This is what I started years ago when I realized that there is no way I remember when I last serviced all these tractors. Tractors with oil filters I write the hours, date on the filter plus write it down, but most of them don’t have engine oil filters so I use this journal. Just now I brought it in the house to take a few pictures and saw this oil stain on many of the pages. I’m not sure how this happened and I’m a little bummed 🙁 I didn’t take pictures of all the pages, just a few so you get the idea. 3
Wishin4a416 2,317 #25 Posted 1 hour ago I am a fan of the painters tape under the hood. I change it out at every service. Even my truck has a piece in the corner of the windshield. Inside of course.
